Your privacy matters. This policy explains precisely what we collect, why, and how we protect it.

Shine One Software ("we", "our", or "S.O.S"), a Québec-based company located at 4710 boulevard Laurier Ouest, Saint-Hyacinthe, is committed to protecting the personal information you entrust to us through shine-one-software.com.

This policy applies only to shine-one-software.com. It does not cover third-party sites we may occasionally link to.

1. Information we collect

We only collect information you actively provide through our contact form. We do not use behavioural analytics, our own advertising trackers, or browser fingerprinting on this site.

Contact form data

  • First and last name
  • Email address
  • Phone number
  • Free-text message describing your project or inquiry

Our server additionally logs your IP address and the timestamp of each submission for strictly technical purposes (spam prevention and rate limiting).

2. How we use the information

We use contact form data for a single purpose: to respond to your inquiry. Specifically, this includes:

  • Reading and reviewing your message
  • Replying by email or phone
  • Discussing your project and providing a quote where applicable
  • Reasonable follow-up after initial contact

We never use your information for email prospecting, newsletters, or behavioural advertising. We do not sell, rent, or trade your personal information to anyone.

3. Cookies and similar technologies

Our site uses a very limited number of cookies, listed exhaustively below. We do not deposit any advertising or profiling cookies of our own.

Preference cookies

  • lang: remembers your selected display language (French, English, or Spanish). Lifetime: 12 months. Issuer: shine-one-software.com. No identifying information is stored.
  • PHPSESSID: a technical session identifier used during contact form submission (in particular for anti-bot protection). Lifetime: until the end of your browsing session.

Advertising measurement cookies (Google Ads)

If you arrive at our site from a Google Ads advertisement, Google may deposit third-party cookies (_gcl_au, _gac_*) to measure whether your visit leads to a conversion (contact form submission). These cookies are used solely to attribute the conversion to the ad you clicked. Google's advertising cookie policy.

You may refuse or delete these cookies at any time through your browser settings. The only consequence of rejecting our preference cookies is that your language choice will reset on each visit; the site remains fully functional.

4. Third parties and recipients

We do not sell, exchange, or transfer your identifying information to third parties. The processors below receive only the data strictly necessary for their function, and only that:

  • Google Sheets (Google LLC): the information you submit through the contact form (name, email, phone, message, timestamp) is recorded in a private Google spreadsheet. No public access is granted.
  • Google Ads (Google LLC): when a contact form is received, our server communicates with the Google Ads API to temporarily pause our advertising campaign. No personal information about you is transmitted in that call; only the campaign identifier is exchanged. If you arrived via an advertisement, an attribution cookie (see section 3) may additionally record the conversion with Google.
  • Google Analytics 4 (Google LLC): we use Google Analytics 4 to measure site traffic in aggregate (number of visitors, pages viewed, traffic sources). Data collected by GA4 is anonymized by default and cannot, on its own, identify you personally.
  • Legal compliance: where we believe in good faith that disclosure is necessary to comply with a legal obligation.
  • Rights protection: to protect and defend the rights or property of Shine One Software.

5. Your rights

Under Québec's Law 25 (An Act to modernize legislative provisions as regards the protection of personal information) and Canada's federal PIPEDA, you have the following rights regarding your personal information:

  • Right of access: request a copy of the personal information we hold about you.
  • Right of rectification: request correction of inaccurate or incomplete information.
  • Right to erasure: request deletion of your data, subject to our legal obligations.
  • Right to portability: request transfer of your data to another organization.
  • Right to withdraw consent: withdraw your consent at any time.

6. Data retention

Contact form submissions are retained as long as the prospect or client relationship is active, and for up to 24 months after the last exchange for follow-up purposes. Server logs (IP, timestamp) are retained for 90 days, then deleted.

You may request earlier deletion at any time by writing to us.

7. Security

We protect your information using security measures appropriate for our scale:

  • HTTPS encryption for all data transmissions
  • Storage in Google's infrastructure (Google Sheets), benefiting from Google's security operations
  • Access restricted to the two engineers who maintain the site

No internet transmission is 100% secure. We use commercially reasonable means but cannot guarantee absolute security.

8. Minors

Our service is not directed at children under 14, the age at which consent for personal information collection is generally required in Québec. We do not knowingly collect information from minors. If you believe a minor has submitted our contact form, write to us and we will delete the submission.

9. Changes to this policy

We may update this privacy policy from time to time. Any material change will be announced on this page with an updated "Last updated" date.

We encourage you to consult this policy periodically. Continued use of our service after changes are published constitutes acceptance of the updated policy.
